Card on File FAQ
Designed to Make Your Experience Easier
At Prosper Women's Health, our goal is to provide exceptional, personalized care from the moment you schedule your appointment until long after your visit.
Our Card on File Policy is designed to simplify your experience by making check-in faster, reducing paperwork, minimizing billing delays, and helping us keep appointments available for patients who need care.
We understand that you may have questions, and we're happy to answer them.
Why do you require a card on file?
Great question!
Our Card on File Policy is designed to make your experience as smooth and convenient as possible. Having a payment method securely stored on file helps streamline your visit, reduce paperwork, simplify billing after insurance processes your claim, and allows our team to spend more time focused on you—not administrative tasks.
It also helps us reduce missed appointments so we're able to offer timely appointments to patients who need care.
Your card is never charged simply because it's on file.
I'm not comfortable putting my card on file.
We completely understand, and you're not alone—this is one of the most common questions we receive.
Protecting your information is extremely important to us. Your payment information is securely encrypted through our payment processor, and our team cannot see your full card number.
Our goal is to make your experience both convenient and secure.
No one told me about this.
We're so sorry if that wasn't clear.
We do our best to communicate this policy throughout the scheduling process. You'll find it on our website, it's reviewed when appointments are scheduled, included in your appointment confirmation, and outlined in your new patient paperwork and consent forms.
We believe clear communication helps create a better experience and prevents unexpected surprises before your visit.
What if someone hacks my card?
We understand why you'd ask.
Your card information is not stored by Prosper Women's Health. It is securely encrypted and maintained through a PCI-compliant payment processor that meets industry security standards. Our team cannot access your full card number.
Protecting your privacy and financial information is a responsibility we take very seriously.
My other doctor's office doesn't require this.
Every medical practice is different.
At Prosper Women's Health, we've chosen this policy because it supports the level of service we want every patient to receive. It helps us provide a more efficient experience, keep appointments available for patients who need care, and allows our team to spend more time focused on what matters most—caring for you.
I don't have my card with me right now.
No problem at all!
Simply give us a call back once you have your card available, and we'll be happy to complete your registration.
Please keep in mind that appointments are confirmed on a first-come, first-served basis and availability can change quickly. Appointments cannot be confirmed until the registration process, including adding a payment method on file, has been completed.
Are you going to charge my card today?
No.
Your card is not charged simply because it's on file.
It is securely stored and may only be used for applicable patient-responsibility balances after insurance has processed your claim or for missed appointment fees in accordance with our Financial Policy.
Current missed appointment fees are:
-
Office Visits: $75 late cancellation or late reschedule | $120 no-show
-
Procedures or Ultrasounds: $100 late cancellation or late reschedule | $150 no-show
Can I still pay when I come in?
Absolutely!
You're welcome to pay using any of our accepted payment methods at the time of your visit.
We simply ask that all patients maintain a valid payment method securely on file before an appointment can be confirmed.
Our Commitment to You
Our Card on File Policy isn't just about payments—it's about creating a smoother, more convenient experience for every patient.
By reducing administrative delays, simplifying the billing process, and helping keep appointments available, we're able to focus more of our time and attention where it belongs: providing compassionate, personalized care for every woman who walks through our doors.
If you ever have questions, our team is always happy to help.
